Work package WP1 – Project management
Objectives
The aim of the Work Package is to ensure a successful delivery of the project. The objectives are:
- To ensure sufficient scientific quality by coordinating collaboration between the different management bodies,individual partners and individual WPs to ensure vertical and horizontal integration within the project.
- To guarantee adequate risk management procedures and ensure that all occurring risks are mitigated.
- To coordinate the activities in the project, assure deadlines are met, implement mitigation measures in case of delaysor deviations from the original plans, ensure all necessary communication and flow of inputs among work packagesand partners is effective and efficient, and to ensure an effective administrative management (reporting, budgets andpayments)
- To administer ethics and data management.The description of project structure and governance is provided in Section 3.2.
Tasks
This task will ensure a proper management set-up of 6G-SHINE. It includes overseeing reporting schedule and duties,
collecting reports from partners, overseeing detailed work plan and project schedule (checklist), collecting deliverables,
identifying delays in deliverables, coordinating the development of contingency plans. Handling day-to-day business,
processing external and internal requests. Overseeing all tasks related to management. Defining clear responsibility and
implement efficient reporting structures in the project. Handling financial management at a consortium level. Preparing
periodic, mid-project and final reports to the standard required by the EC based on material prepared by the Project
Coordinator and WP Leaders. Prepare the Quality and Project Management Plan. It also include organization of Project
Management Team (PMT) calls, and telcos with the advisory board.
Subtask 1.1b: Documentation
Professional documentation standards will be implemented and provided as services to the project partners, with
provision of various project templates. A professional layout of project internal documents and deliverables will be
prepared. Also, editorial revision or project related documents, reports and deliverables will be performed. Procedures
for archiving, file naming etc. will be produced and included in the D1.1 – Quality and Project Management Plan.
This task refers to coordinating scientific and technical quality assurance of all deliverables, publications and
presentations across the WP structure, in close cooperation with WP leaders. It also includes overseeing the design,
development and optimisation work in the project, and coordinating scientific and technical review of the work performed
by the partners, including deliverables. Also, the preparation of the scientific and technical part of the reports to be
submitted to the EC will be overseen.
Progress management and risk contingency planning for the project will be implemented by the Project coordinator. Any
minor deviations from the plan will be reported to the Project Coordinator who will consider the problems and, where
appropriate, make recommendations for implementing the contingency plan(s) associated with the work package(s) or
partner(s) in question. In the event of more serious problems, the Project Coordinator will convene the General Assembly
to determine the best route forward and will advise the EC’s Project Officer of the problem and seek their approval for
the proposed solution.
This task ensures monitoring and handling of any ethical issues arising during the project and how Data and Open
Science will be managed during and beyond the project. This will include the preparation and regular updates of the
Data Management Plan and Open Science issues.
